Compare the same trip
Before comparing totals, align the departure point, destination, date, group size and return arrangement. A quote for a one-way movement cannot be compared directly with a quote that includes waiting and a return leg. Ask the provider to identify the assumptions used.
Create four comparison columns
For each quotation, record the journey covered, the total and currency, the exclusions, and the change or cancellation terms. Ask whether repositioning, waiting, taxes, landing charges and overnight costs are included or applicable. These are questions for the supplier, not charges that should be assumed in every charter.
Read the conditions beside the number
Find the expiry date and what is required to confirm the quotation. Check what happens if the passenger count, timing or baggage changes. Separate a customer cancellation from a cancellation initiated by the operator; do not assume they carry the same financial outcome.
Keep the decision easy to explain
Record why an option fits the trip and which questions still need answers. If a revised quote arrives, preserve its version and compare the changes before accepting. The strongest comparison is the one another traveller or colleague can follow without reconstructing an email chain.
